RETREAT TERMS & CONDITIONS

By booking your Retreat at Paradise Valley Lodge, you agree to the following Terms and Conditions:

Rates

  • All rates are quoted in New Zealand dollars and include 15% GST.
  • Rates are subject to change and will be confirmed at the time of reservation.
  • Surcharges apply for any damage to the room, property or additional cleaning required will be charged to the client

Booking Deposit Terms

  • A 20% deposit is required to secure your preferred Retreat Date. Deposit can be made to our bank account with the following information:

– Paradise Valley Lodge – ANZ Bank # – 06 0433 0452870 01  name/ref: date of Retreat
– An invoice for the final balance owing will be issued (including any Extra’s, treatments and Catering.)

  • The booking is transferrable
  • The balance owed is payable 2 weeks prior to your booking arrival date
  • COVID: The booking is transferrable or Fully refundable less booking fee (20% of Deposit)

Cancellation policy

  • Cancellations received with less than 21 days’ notice are subject to a 50% forfeit of total booking period. Cancellations less than 14 days will forfeit 100% total booking cost
  • No shows will forfeit 100% total booking period.
  • No refunds for early departures or catering cancellations.
  • It is recommended that travel insurance be taken out, in case of unforeseen circumstances on which a booked property becomes unavailable Paradise Valley Lodge will use its best endeavours to find suitable alternative venue or refund all charges.
  • Paradise Valley Lodge accepts no responsibility to amend your reservation due to transport delays/closures/cancellations. i.e. airport, ferry, or road closures due to bad weather.

Check-In & Out Times

  • 8.30am – 5.30pm weekdays for day retreats Monday -Thursday
  • 8.30am Check in for weekend retreats
  • 3.00pm check out on last day of retreat or end of programme and farewells
  • Check in the night before your retreat can be arranged subject to availability. Room rate applies.

  • Portable Projector Screen
  • White board, flip chart and markers

  • Crockery, glassware and Cutlery
  • Massage/alternative treatment space.
  • 2 x massage Tables
  • Yoga space
  • Meditation cushions, yoga mats and meditation stools
  • Linen, Towels, robes and cleaning
  • Firewood
  • Small Fire pit/Brazier
  • Complimentary Tea, Herbal Tea, tea pots, cups, coffee, coffee filter machine and Urn
  • Dried flower arrangements
  • Bell
  • Kitchen appliances

Day Spa

  • Retreat bookings can make use of our Massage/alternative treatment space as part of their event.
  • Paradise Valley Lodge therapists can be arranged by Paradise Valley Lodge (subject to availability)
  • Our Day spa is not available for any guests as accommodation.
  • Please ensure all heaters or any equipment is turned off after use.
  • All linen, towels, robes from the studio to be placed in washing basket provided
  • Please lock all doors after use.

Spa Pool

  • Onsite Spa pool available for Retreat Bookings. We use a professional Spa Pool company who Valet and maintain cleanliness.
  • Please follow any rules and instructions provided by Paradise Valley Lodge. (In Guest information booklets in rooms)
  • No drinking or smoking is permitted in the SPA POOL
  • No more than 6 guests in the spa pool at any given time.
  • Please add one scoop of Spa Chlorine to the pool after heavy use at the end of the day before retiring to bed.
  • Please put the Spa pool lid on after use.

Yoga Studio

  • Retreat bookings can make use of our Yoga studio space, Massage/alternative treatment space as part of your event.
  • Any damage or theft to the building Yoga mats, Meditation cushions, meditation stools will be charged accordingly.
  • Please ensure the heaters are turned off
  • Fairy lights are turned off
  • Please lock the door after use.

Fire Pit

  • After spending time or holding ceremonies around the fire pit please extinguish the embers with water.
  • Please do not move the firepit/brazier all around the property as this leaves patches of burnt grass. We have a designated area.
  • No open fires are to be lit at any other location in or around the property.
  • Do not light candles in the bedrooms. We have battery lit candles and torches in all rooms.
  • No Fireworks

Catering

  • When Paradise Valley Lodge is catering for your event, please advise of any special dietary requirements or allergies at least 14 days prior to your event date.
  • Paradise valley lodge, Retreat, Venue is not a licensed venue the event must be BYO only. Strictly complying with Alcohol Consumption Legislation and not serving alcohol to anyone under the age of 18.
  • Caterers must remove all their equipment at the end of the event, any items left behind is the hirer’s responsibility to return to the catering company.
  • Caterers must follow all safe food handling legislation and store food items in onsite fridges.
  • Paradise Valley Lodge accepts no liability for any loss or damage caused to contracted party’s property.

Vendors/Service Providers

  • All vendors, service providers are permitted to have access to the property.
  • Paradise Valley Lodge accepts no liability for any loss or damage caused to contracted party’s property.

House rules

  • We are a no smoking property. Any smokers must be outside and use ashtrays provided.
  • No animals are permitted on the property. (except for working assistance dogs for guide and hearing assistance dogs.)
  • No Fireworks are to be lit, we have farms with stock surrounding the property.
  • Fire Pit use on the property is permitted in our designated area however not down by the Stream.
  • Photography is permitted anywhere onsite, no drones over neighbouring properties.
  • Set up and pack up of any additional decoration is your responsibility. We do ask that you please run past us your plans so we can confirm that it’s all ok and not likely to damage any of our property. These decorations must be removed at the end of your event.
  • Anything hung inside the lodge, country room or homestead may be done with either blue tack or 3 M removable products. No pins, staples or cello tape.
  • All Rubbish and recycling to be placed in bins provided
  • Please return paradise valley lodge property back to where you found it.
  • All linen, towels, robes, pillow slips, bath mats and hand towels to be stripped and placed in a pile on the bathroom floor. DO NOT REMOVE DUVET COVERS
  • Load and turn on the dishwasher before you leave.
  • Lock all doors Leave all keys in reception, lock the reception and close the gates behind you.
  • We will return any left items to caterers, vendors that we have organised otherwise please take with you anything that your vendors, caterers have accidentally left behind.

Health and Safety

Paradise Valley Lodge has direct access to the Ngongotaha Stream. For the safety of all concerned it is very important to follow the safety guidelines and terms.

  • Entering and exploring our property is by confirmed booking or permission only. We hold no responsibility for any accident or injury while using our venue or accessing the stream.
  • Visitors to the property or accessing the stream we hold no responsibility for any accident or injury.
  • Supervise young children carefully, make sure an adult closes the gates properly.
  • The client shall be responsible for the Health and Safety of all those attending their event, they must make themselves aware of evacuation procedures, assembly points and provide for those with mobility needs.

 

Privacy Policy  

  • We are committed to ensuring that your privacy is protected. Under no circumstances will the details of guests be shared amongst individuals nor be distributed to a third party without consent.

Liability

  • The Guest will not do anything that could adversely affect the Owner’s Insurance over the event. Personal effects of the attendee’s will not be insured by the owner. The client acknowledges that all personal items and vehicles (including vehicle contents) of the attendee’s remain the clients responsibility and Paradise valley Lodge accepts no responsibility for any loss or damage.
  • All clients, their guests and any contracted workers use the venue at their own risk. While every precaution is taken to ensure the safety of guests Paradise Valley Lodge owners will not be held responsible for any loss of damage to property (including vehicles) or injury to any person.
  • No Liability can be accepted by Paradise Valley Lodge for any injury, loss, damage to the clients property or any visitor to the property, arising out of or in connection to use of the property.

Principle
The guest agrees, that should all of these conditions not be adhered to the owner or their agents will have the right to terminate this contract/booking and the guest and all other persons will vacate the property immediately if requested to do so by Paradise Valley Lodge or a representative, in this event the guest agrees that no refund will be due or paid for any unused hours or accommodation nights.
